If a customer comes in or calls for a delivery, grab a delivery form and write down all the information needed, as listed on the delivery sheet.
How to place a delivery order:
Grab sheet from HUB labeled “Delivery Form”
Ask customer if they are a new or previous customer, on iPad:
New: Create new account with: (*mandatory)
*First and last name
*Phone number
Email - optional
*Address (zip code)
Notes: Add zone, drop request,
Save and attach to sale
Returning:
Ask for name and confirm information on account
Attach to sale
Begin taking down information that is asked for on the paper form, including:
Name of customer
Phone number - write down call before
Address
Product
Where they would like the product dropped
Things to remember :
Delivery: Look up how far away the address is and what zone they would be in
Zones:
Neighbors of Norwood >1ish = $30
Zone 1 - 1.1 - 4 miles = $45
Zone 2 - 4.1 - 7 miles = $55
Zone 3 - 7.1 - 10 miles = $65
Zone 4 - 10.1 - 15 miles = $75
Zone 5 - 15.1 - 20 miles = $100
For deliveries over 20 miles, charge 20 miles then whatever the remainder distance is.

Payment
What info is needed: Credit card number, expiration date, CVV
Print out receipt from black printer
Staple to delivery form
Highlight address and product
Place in blue folder on the correct day (ex: delivery forms for Wednesday should be laid on top of the Wednesday tab)
After a delivery has been completed:
After a drive returns from a delivery, they should check off the paper and hand over to whoever is working hub
From there place paper into folder labeled “Completed deliveries” - in order from beginning to end of month
Key Reminders
Don’t forget to get credit card info! If they want to pay in cash at delivery you must run it by Anne or Les first and then coordinate with drivers to make sure the proper amount makes it back into the register.
If you write down the credit card information- make sure it gets shredded so maintain the privacy of the customer.
Staple both receipts to the delivery sheet and put it in the delivery folder on the appropriate day. Put it ON TOP of the tab with the corresponding day.
If they call to change the day of delivery just change the date at the top of the form and move it to the appropriate day in the folder.

Quoting Delivery:
This is when a customer wants to get an estimate on how much a delivery would cost. You can only do this if they have an account in our system. Select the products they are wanting delivered and include the delivery fee. Then click the “Save as Quote” button under the green “Payment” button. This will save it to the customer's account as well as print a receipt. Give the receipt to the customer or staple it to the delivery form that you filled out.
If someone wants a bulk material delivered and spread we only spread for a minimum 10 yard purchase. Do not promise it can get done immediately. It is a filler job for landscape crew. Fill out a landscape form for the landscaping team to reach out to customer. If it is less than 10 yards you can refer them to ECM, Carolina Outdoor, or Mr. Mow It All. We see them often and customers seem to be happy with their services.
We deliver plants the same way as bulk materials but customer must come pick out and purchase plants.
Other important notes:
During the busy season, we do not do same day deliveries. If you’re not 100% sure if we are offering that, double check with your team lead.
